Although I have some experience attending conferences and events organized through
Disney Meetings & Events, I spoke with a cast member about this scenario. Their suggestion was that you contact the conference organizers first and book the room with the conference block through them. Since availability with the conference block could be limited, you want to be sure you get that room secured first. Of course, let the conference organizers know that you have an existing reservation. Then cancel the existing reservation you have. Of course, if you made that reservation through a third party site, it may be subject to cancellation penalties, so be sure to review the reservation policies before cancelling.
Having gone to several conferences in the Orlando area in prior years, I will say this, one year I was headed to a conference with several other educators but we were unable to get rooms with the conference room block. The room block was at Disney's Port Orleans Resort - French Quarter. We were able to book rooms at Disney's Port Orleans Resort - Riverside. And we were able to catch the conference transportation from French Quarter. Your decision may depend on price and other benefits you may receive booking with the conference rate. Also consider your transportation to and from the conference location.
Lori, once you get that room sorted out, be sure to also check on theme park tickets through the conference! Know that some theme park tickets may still require
theme park reservations, so check your tickets and make those reservations if necessary. Last tip - I prefer to arrive the day before a conference begins. If you can do so, you could make an advanced dining reservation for a character meal at one of the Disney resorts. We are so excited about the reopening of
